Our Card/Letter Program – Officially Released!

We are excited to release the link to our card/letter program along with additional details.

Our card/letter group is called, Hope Alive Ministry: Words of Hope. 

You may choose to either send cards on a monthly basis or a special occasion basis who are going through an extra difficult time (e.g. recently received surgery, had a treatment/procedure, or simply need extra love. You can decide when to send to the children you are a pen-pal for as the purpose is to surprise them, but please try to send regularly (Monthly scans, planned surgeries, etc.), so it will still be a surprise, but they can look forward to receiving cards on harder days.

To become a monthly card sponsor:
1. You agree to send out one card to each child you are sponsoring every month.
2. You must commit to send cards for at least 6 months in a row unless there is a family emergency or financial difficulty.
3. You will let either Janis Soucie (our Program Manager) or myself know if you are unable to send to your sponsored children at any time after the 6 month time commitment unless something urgent comes up.
4. You will post in here letting us know that your cards have been sent out so we can keep track of who is sending and which kids are not posting their pictures.
5. Please write WOH or Hope Alive Ministry on your envelopes, cards, or packages when you send them out so that the parents know where they are coming from and where to post their pictures.
6. Please allow the families the entire month to post their card pictures before asking if cards are received. Please remember that all of the families in our group have a medically needy child and probably a lot going on, so they aren’t always able to post right away. Janis Soucie (our Program Manager) and myself (Founder) would be happy to tag the families in a post asking if cards are received if pictures are not posted by the 5th of the following month.
7. Please be sure to let us know if any child is not posting their monthly pictures for you. A requirement of all of our families is that they post at least one time per month with all cards unless the child is sick or in the hospital. We allow the families 6 months of no communication before completely removing them from the program. (This does not mean they are removed if they let us know what is going on.)
8. Please do not ask any parents to purchase anything you make. They have a lot going on already.
9. Parents should be posting their thank you’s and info about what is going on in the card group so that everyone can be informed. Please be sure to watch for tags from your families or Janis or myself so that you can see all of your kiddos posts ❤
10. Please do not send packages to your card kiddos unless it is a holiday or birthday. If you choose to send a package for a holiday or birthday, that will count as your card for the month. You don’t have to send a card along with the package. Packages are never required, though. For your monthly cards, some fun ideas if you would like to send a little extra include things like stickers, tattoos, and bandaids ❤ Monthly cards should not contain more than $3 total worth of items .
11. We are a card club! Please let Janis (Program Manager) or myself know immediately if any parent in our programs asks you to purchase any items for their child or hints towards needing items sent to them.

To become a special occasion (pen-pal) card/letter sender:
1. You agree to send cards or letters to children we feature that parents send us who could use extra cheering up.
2. You must commit to send cards or letters for at least 6 months in a row unless there is a family emergency or financial difficulty.
3. You will let either Janis Soucie (our Program Manager) or myself know if you are unable to send to your sponsored children at any time after the 6 month time commitment unless something urgent comes up.

As a parent of a child receiving cards/letters either monthly or pen-pal:
1. Any child between the ages of 2-16 (developmentally) with a chronic or life threatening medical condition can be added to our list that would like a card sent to them. We are currently accepting new children that are not already in another monthly card program as we want children that aren’t already receiving some love to get smiles.
2. Please send Hope Alive Ministry a pm with your child’s name (first and last name), birthday (month, day & year), interests (favorite colors, TV characters, etc.), any allergies (Food or other such as latex since sometimes our card senders like to send small goodies like candy for the holidays, so we want to make sure everything is safe for your child or if they can have anything by mouth), diagnosis, a recent picture of your child (within the last year or so!) and current address, Facebook, Caringbridge or website page link for your child and that you are interested in them being added to our card club. Please let us know if you want your child to receive a card every month from their sponsors or on a surprise/special occasion basis.
3. The child must be living in your home full time to be added to our list.
4. We require for you to have a Facebook page, Caringbridge, or website for your child and permission forms to be signed electronically before any child is added to our card program . You must also give us permission to share your child’s picture, child’s birthday and social media page link in this closed group (anyone can find the group and who is in it, but only members can see posts), so our card senders and families can get to know your child and so the card senders can be tagged with the child or children they will be sending to. This group is closed, so only members can see posts. Please share the link for your Facebook, Caringbridge, or website via private message.
5. Please do not ask for money or anything specific from any of our card senders. They are only allowed to send cards!
6. Please post pictures of your child receiving the card or package by the end of the month every month if they are receiving cards every month (Exceptions include hospitalizations or family emergencies) in this group. *If your child is receiving cards or letters on a special occasion (pen-pal) basis, pictures are not required, but encouraged. The card senders love to see pictures of the children they send to receiving their cards. Failure to post pictures for 6 months in a row if in the monthly card sending group (unless you tell us) will result in your child being removed from the program.
7. Please let us know when your address changes, so we can update it and allow your card senders know.
8. Please let us know immediately if any card sponsor is asking you to buy anything they make from them.

* Once you message Hope Alive Ministry, Bayley (Founder) or Janis (Program Manager) will be able to get you all of the information needed to be a part of our mailing list. We are unable to accept any siblings to our card program since there are so many sick children to send to. Please make sure to join our closed FB group by clicking here, so that our amazing card sponsors can see pictures of your child enjoying their card.
